What’s in the IIF file.

  • Each transaction as a QuickBooks Desktop check (money out) or deposit (money in), between your bank account and one other account that holds it until you classify it (Ask My Accountant, unless you type another).
  • The payee leads the memo; QuickBooks’ name lists are left alone. Check numbers go in the Num field.

Every row is added up against the statement’s own numbers: each balance must equal the one before it plus money in minus money out, and the opening balance plus everything in between must reach the closing balance. When the bank prints totals, those are checked too.

If anything is off, the row to look at is shown before you download. Nothing is ever changed to make it add up.

  1. Back up your company file first: IIF changes the books directly.
  2. File, then Utilities, then Import, then IIF Files, and pick the file. If QuickBooks offers to review it first, let it.
  3. Import each file once: IIF has no duplicate check.

The details that matter.

  • Without an account: 2 statements a day, up to 20 pages each. A free account gives 4 a day, up to 50 pages each. Scanned PDFs, longer statements and many statements at once are on the paid plans.
  • Bank and savings account statements are supported. Credit card statements are not yet: their balance runs the other way.
  • QuickBooks creates any account it doesn’t know as a new bank account, so type both account names exactly as they are in your chart of accounts. IIF has no duplicate check: import each file once.

Is the bank statement to IIF converter free?

Yes, for 2 statements a day of up to 20 pages each, with no account. A free account (just your email, no password) gives you 2 more, up to 50 pages each. Bigger statements, scanned PDFs and many statements at once are on the paid plans.

Is my bank statement uploaded?

No. The PDF is read by code running in your browser tab and is never sent to a server. You can check: open your browser’s developer tools, go to the Network tab, and convert a statement. The panel also shows the bytes uploaded: 0.

How do I know nothing was missed or misread?

Every file is checked against the statement’s own numbers: each row against the running balance, and opening balance plus money in minus money out against the closing balance. If anything is off, you are shown the row to look at. Nothing is ever changed to make it add up.

Which banks does it work with?

It reads the table in any text-based statement PDF by its layout rather than by bank name. It has been tested on real statements from State Bank of India and Kotak Mahindra Bank and on sample statements published by Capital One and RBC. If a layout isn’t supported yet, it says so instead of guessing. Credit card statements are not supported yet.

What about scanned or password-protected PDFs?

A password-protected PDF asks for its password, which is used only in your tab. Scanned PDFs (pictures of pages) are read with text recognition on the paid plans, also in your browser.
