- QBO in, Excel out
01 / Why convert
Banks give .qbo files for QuickBooks, but a spreadsheet is easier to search, filter and total, or to send to someone who doesn’t use QuickBooks.
02 / What carries over
From QBO to Excel, field by field.
What the QBO file can hold, and where it goes in the Excel file.
| In the QBO file | In the Excel file |
|---|---|
| Date | Kept |
| Amount (money in and out) | Kept |
| Payee or description | Kept |
| Memo (extra text) | Kept |
| Check or reference number | Reference column |
| Bank’s transaction ID (FITID) | Excel has no place for it |
| Running balance | Not in a QBO file |
| Account number | Excel has no place for it |
| Currency | Summary sheet |
| Credit card (not a bank account) | Excel has no place for it |
03 / Opening it
Opening the Excel file.
Excel, Numbers or Google Sheets
- Open the .xlsx file. Dates are real dates and amounts real numbers, so sorting, filters and SUM work straight away.
- In Google Sheets: File, then Import, then Upload.
04 / The QBO file
Getting a QuickBooks Web Connect file (.qbo).
Intuit’s bank download for QuickBooks: an OFX file with Intuit’s bank id added. It carries each transaction’s date, amount, payee, memo, check number and the bank’s own transaction ID.
- Online banking: Transactions, then Download, then “QuickBooks Web Connect (.qbo)”.
Have a bank statement PDF instead? The bank statement converter reads it in your browser too.
05 / Good to know
The details that matter.
- A QBO file with several accounts (checking and savings in one download, say) lets you choose the account.
- OFX 1.x and 2.x are both read, along with the bank’s corrections to earlier transactions.
- Two sheets: the transactions (real dates and numbers, oldest first) and a summary with the dates, totals and, when the file had them, the opening and closing balances.
06 / Questions
Straight answers.
Is this QBO to Excel converter free?
Yes, for 2 files a day with no account. A free account (just your email, no password) gives you 2 more, and paid plans have no daily limit. It runs in your browser, and nothing is stored.
Is my QBO file uploaded anywhere?
No. The file is read and the Excel file is written by code running in this browser tab. Neither is sent to a server. You can check: open your browser’s developer tools, go to the Network tab, and convert a file.
Which columns will the Excel file have?
Date, Description, then Memo, Reference and Category when the QBO file has them, then Debit (money out) and Credit (money in), and Balance when the file had a running balance. Dates are real dates, oldest first.
My QBO file has several accounts. Which one is converted?
The first, until you choose another: when a file holds more than one account (checking and savings, say), the panel lists them all.
07 / More converters
Other files, same idea.
All of them run in your browser. For PDFs, start at the bank statement converter; every converter is on the converters page.
