01 / The file

What’s in the QBO file.

  • Each transaction with its date, amount, a short payee name for QuickBooks’ bank rules, the full description in the memo, and check numbers when the statement prints them.
  • Every transaction gets an ID that stays the same if you convert the statement again, so QuickBooks skips rows it already has. The account number and closing balance are included.

02 / The check

Checked against the statement, before you import it.

Every row is added up against the statement’s own numbers: each balance must equal the one before it plus money in minus money out, and the opening balance plus everything in between must reach the closing balance. When the bank prints totals, those are checked too.

If anything is off, the row to look at is shown before you download. Nothing is ever changed to make it add up.

Importing the QBO file.

QuickBooks Online

  1. Bank transactions (All apps, then Accounting), then the Link account menu, then Upload from file.
  2. Pick the .qbo file, then the QuickBooks account it belongs to.
  3. Each upload takes up to 1,000 transactions and 350 KB; the converter tells you when a file is bigger.

QuickBooks Desktop

  1. File, then Utilities, then Import, then Web Connect Files.
  2. Choose an existing account (or let QuickBooks create one), then review the transactions in Bank Feeds.

The details that matter.

  • Without an account: 2 statements a day, up to 20 pages each. A free account gives 4 a day, up to 50 pages each. Scanned PDFs, longer statements and many statements at once are on the paid plans.
  • Bank and savings account statements are supported. Credit card statements are not yet: their balance runs the other way.
  • QuickBooks Online can read some PDF statements itself now. Use this when you want every row checked against the balance first, when you use QuickBooks Desktop, or when the PDF shouldn’t leave your computer.
  • QuickBooks Desktop may label the account “Wells Fargo”: Web Connect files need a bank id from Intuit’s list, and this is the one most converters use. The rows are yours.
  • Converting the same file again gives the same transaction IDs, so QuickBooks and Quicken skip what they already have.
  • Payee names are cut to 32 characters, the OFX limit QuickBooks enforces; the full text goes in the memo. Text is written as plain ASCII, which older importers need.

Is the bank statement to QBO converter free?

Yes, for 2 statements a day of up to 20 pages each, with no account. A free account (just your email, no password) gives you 2 more, up to 50 pages each. Bigger statements, scanned PDFs and many statements at once are on the paid plans.

Is my bank statement uploaded?

No. The PDF is read by code running in your browser tab and is never sent to a server. You can check: open your browser’s developer tools, go to the Network tab, and convert a statement. The panel also shows the bytes uploaded: 0.

How do I know nothing was missed or misread?

Every file is checked against the statement’s own numbers: each row against the running balance, and opening balance plus money in minus money out against the closing balance. If anything is off, you are shown the row to look at. Nothing is ever changed to make it add up.

Which banks does it work with?

It reads the table in any text-based statement PDF by its layout rather than by bank name. It has been tested on real statements from State Bank of India and Kotak Mahindra Bank and on sample statements published by Capital One and RBC. If a layout isn’t supported yet, it says so instead of guessing. Credit card statements are not supported yet.

What about scanned or password-protected PDFs?

A password-protected PDF asks for its password, which is used only in your tab. Scanned PDFs (pictures of pages) are read with text recognition on the paid plans, also in your browser.
