How to import a bank statement into QuickBooks Online

When the bank feed can’t reach far enough back, or your bank isn’t connected, you upload a file. Which file to use, the exact clicks, and what to do when it fails.

Short answer

Go to Bank transactions, open the Link account menu and choose Upload from file. QuickBooks Online takes a QBO file (the best choice), a QFX, a CSV with three or four columns, or a PDF or photo of the statement, which it reads with AI. Each file can be up to 350 KB and 1,000 transactions. The transactions wait in For review until you accept them, so nothing reaches your books unchecked.

Bank feed or file upload?

If your bank connects to QuickBooks Online, connect it. Transactions then arrive every day by themselves. A file upload is for what the feed can’t do:

  • History from before the feed. When you first connect, how far back QuickBooks can fetch depends on the bank, from about 90 days to 24 months.
  • A bank QuickBooks can’t connect to, or a connection that keeps breaking.
  • A closed account you still need in the books.
  • A gap where the feed missed some days.

If you upload history and also connect a feed, keep the dates apart: upload up to the day before the feed starts. Overlapping dates are the most common cause of doubled transactions.

If your bank offers a QBO download, use it. If all you have is a CSV from the bank, a CSV to QBO converter saves you reshaping the columns. Not sure what a QBO file is? Here is a plain explanation.

How to upload a bank file, step by step

  1. Go to All apps › Accounting › Bank transactions. In older menus it is Transactions › Bank transactions or Banking › Banking.
  2. Open the Link account dropdown and choose Upload from file.
  3. Drag the file into the box, or choose Drag and drop or select files to find it. Select Continue.
  4. Choose the QuickBooks account the transactions belong to: the same bank or card account each time. Pick it carefully; this is where most mistakes start.
  5. For a CSV, match each column to Date, Description and Amount (or Credit and Debit), and choose the date format. For a PDF or image, check the fields QuickBooks read from the statement and correct any it got wrong.
  6. Select Save or Continue to finish. The transactions appear in the For review tab.

Getting a CSV file accepted

QuickBooks Online is strict about CSV files. Intuit’s rules, in plain words:

  • Use three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit). Delete everything else: balance, reference, category, account number.
  • Write every date the same way all the way down. If the bank adds the day of the week (“20/11/2022 TUE”), split it into its own column and delete it.
  • Leave a cell empty rather than writing 0 in Amount, Credit or Debit.

It also helps to delete any title lines or account details above the column headings, so the headings are the first row.

A CSV that breaks these rules usually fails with an error like “Some info may be missing from your file”. Two easier routes: download a QBO file from the bank instead, or convert the CSV to QBO, which removes the column rules entirely.

Uploading a PDF statement

QuickBooks Online now accepts the statement itself, as a PDF or a photo (JPG, PNG or HEIC), through the same Upload from file button. Intuit says its AI extracts the information from the statement, and you review the result before saving. It is the quickest route when your bank won’t give you anything else.

Two reasons you might convert the PDF first instead:

  • To have it checked before it arrives. Our converter adds up every row against the statement’s running balance and its opening and closing balances, and shows you any row that doesn’t fit, before you download the QBO file.
  • Volume. Long statements and many months at once are easier as files you can check and upload one by one. Privacy isn’t a reason here: the transactions end up in QuickBooks either way.

When the upload fails, and how to fix it

“The uploaded file is too large”

The limit is 350 KB and 1,000 transactions. Download or convert a shorter date range, a month or a quarter at a time, and upload the files one after another.

“Some info may be missing from your file”

The CSV doesn’t match the three- or four-column layout. Delete the extra columns and empty rows, or upload a QBO file instead.

Days and months are swapped

The date format chosen while mapping didn’t match the file. Exclude the transactions from For review and upload again with the other date format.

Money in shows as money out

In a three-column CSV, the sign of the amount decides the direction. Some banks and card companies (American Express, for one) write charges as positive numbers. Use the four-column layout, or flip the signs before you upload.

Transactions came in twice

The upload overlapped the bank feed or an earlier upload. Exclude the copies in For review before you accept anything.

After the upload

Uploaded transactions sit in For review, just like ones from a bank feed. For each one, QuickBooks suggests a category or a match with something already in your books. Add accepts it as new, Match links it to an existing transaction, and Exclude keeps it out. Bank rules can categorize repeat payees for you.

Questions

Can I upload an Excel file to QuickBooks Online?

Not as .xlsx. Intuit lists QBO, QFX and CSV for transaction files, plus PDF and image statements. Save the spreadsheet as CSV in the three- or four-column layout, or convert it to a QBO file, which has no column rules.

How far back can I upload transactions?

Intuit’s help page doesn’t mention a date limit for uploads, only the file limits: 350 KB and 1,000 transactions. For several years of history, upload a file per month or quarter, oldest first.

Will uploaded transactions duplicate my bank feed?

They can, where the dates overlap. QuickBooks skips transactions whose IDs it already has, but a bank feed and a file rarely carry the same IDs. Upload only the months before the feed starts, or exclude the copies in For review.

Should I upload the PDF or convert it first?

QuickBooks Online can read a PDF statement itself now. Converting first is worth it when you want every row checked against the statement’s balances before anything reaches QuickBooks, when the statement is scanned or long, or when you have many statements to do.

Can I undo an upload?

Transactions stay in For review until you add or match them, so nothing reaches your books until you accept it. You can exclude unwanted ones there, and undo transactions you have already accepted from the Categorized tab.

Does this work for credit card accounts?

Yes. Choose the credit card account when QuickBooks asks which account the file belongs to. In a CSV, check which way round your card company writes charges and payments before you map the columns.
